HMRC Authorisation:
Click the 'Grant Authority' button.
The first action the user needs to perform is to grant authority for their software to interact with the HMRC. Once authorised, the user will be able to

  1. Submit VAT returns
  2. View previous VAT returns
  3. View VAT payments made
  4. View VAT liabilities ( This is where VAT Returns have been lodged and both non-payments and part payments are displayed)

When a user registers for Online VAT with the HMRC, they receive a USER ID and Password.
An Agent (Accountant) also registers themselves and can go through a process whereby they get permission from their clients to act on their behalf. This process is done on the HMRC website by agents and not in the software.

For any questions regarding this, please discuss with your accountant before commencing.

Authorisation Process:
Step 1. Follow GOV>UK Authority to interact with the HMRC process. This can only be done on the HMRC website as shown here:

If the authorisation is successful, the HMRC will return the information and a file will be created by the software named HMRC.json.

The 'Grant Authority' button in the program is now changed to 'Cancel Authority'.

Clicking on the [Cancel Authority] button deletes the HMRC.json file mentioned above and changes the button back to [Grant Authority].

Users can also cancel authority for the software via the HMRC website. Please be aware that if this occurs, the Cashflow Manager software will not know as the HMRC.json will not get deleted automatically.

Please Note: If a Tax Agent acts on behalf of the customer, the customer will NOT be able to use any of the MTB VAT functions on their computer. This is because the authorisation has been processed in the Cashflow Manager software on the agent's computer.


VAT Submission:
Step 1.
[Returns Due] is the default selected item.The user needs to record a [From] and [To] date.
Once the dates have been selected the [View] button is used to load a list of VAT Returns that are due within the selected date period.

Step 2.
When the [View] button is clicked, a list of VAT Returns that are due within the selected date period are loaded into the grid.
Each record has a [View] button in the grid cell. Click this grid cell button to load the VAT data that needs to be submitted.

Step 3.
The VAT amount for all 9 boxes are calculated and loaded into the grid. these amounts match what is generated in the printed VAT Report.

Please Note: If the user does not want to submit they can use the [Back to List] button or just close the form.

Before the VAT can be submitted, the user has to confirm they have read and agreed with the declaration.
There are 2 types of Declarations, Business and Agent. Each selection changes the wording of the declaration. This is controlled by which type of 'Sender' is selected.
Once the Declaration checkbox is ticked, click the [Submit] button.

Step 4 - Optional
If the VAT submission is successful, the following message will be generated. If the user selects [Yes] a HMRC web page is loaded so they can make payment.

If the VAT submission is successful, the user will be returned back to the list of 'Returns Due'. 

Please Note: The time taken for the HMRC system to change the status of a VAT obligation from [Open] to [Fulfilled] when a VAT is submitted can vary depending on the HMRC website. If it is updated instantly then the VAT that was submitted should no longer load into the grid. If the user attempts to submit the same VAT period, they will get an error advising them it is a 'Duplicate Submission'.


Submitted VAT:
To view Submitted VAT Returns, the user needs to select [Submitted Returns]
The user needs to select [From] and [To] dates.
Once the dates have been selected the [View] button is used to load a list of VAT Returns that have been submitted within the selected date period.

After the [View] button is clicked, a list of 'Submitted VAT Returns' that were processed within the selected date period are loaded into the grid.
Each record has a [View] button in the grid cell.
The user needs t select this grid cell to load the VAT data that was submitted.

The submitted VAT amounts are displayed in the grid.

To view VAT liabilities the user needs to select [Liabilities].
The user needs to select [From] and [To] dates.
Once the dates have been selected the [View] button is used to load a list of VAT liabilities within the selected date period.

After the [View] button is clicked, a list of VAT Liabilities for the selected date period are loaded into the grid.


VAT Payments:
To view VAT Payments the user needs to select [Payments].
The user needs to select [From] and [To] dates.
Once the dates have been selected the [View] button is used to load a list of VAT Payments made within the selected date period.

After the [View] button is clicked, a list of VAT Payments for the selected date period are loaded into the grid.
